Permissions are configured through a matrix. The rows follow the main menu of NumNum: each row is a menu item (for example Invoices, Clients or Products) and each column is an action (Read, Create, Update, Delete …). You tick what is allowed.
You find this matrix when creating or editing a permission profile.

Not every menu item has every action. Export, for example, only exists for documents such as quotes, invoices and expenses, and Read all only for Clients, Suppliers, Projects, Time registrations and Production registrations. Where an action does not exist, a dash appears instead of a checkbox.

In most modules, View prices determines what else is possible. Without it, an employee can only read in that module, without amounts. Create, Update, Delete and Export are then greyed out and can’t be ticked. Hovering over such a greyed-out box shows Tick “View prices” first to grant this action.
This applies to quotes, invoices, credit notes, payments, expenses, purchase orders, delivery notes and products, among others.
There are two exceptions: an employee can enter, update and delete Time registrations and Production registrations without seeing prices. Useful for on-site staff who log hours and materials but don’t need to know the rates.
For Dashboard, View prices is the only checkbox: the dashboard itself is always available, you only choose whether the figures are visible.
Each row has an All column. Tick it and the user immediately gets all actions for that menu item. Untick it and they all disappear.
If only part of a row’s actions are enabled, the checkbox in the All column shows an intermediate state.
Some permissions have a yellow dot next to the checkbox. These are the permissions that widen the scope: the user then sees the records of all employees, not just the items they created themselves.
An example: if you give an employee only Read on Projects, they only see their own projects. If you also give them Read all, they see the projects of the whole team.
⚠️ Please note: Be careful with these permissions. They determine how much company data an employee gets to see.

Some permissions automatically include something else. Update on Quotes, for example, also allows digital signing, and Create on Invoices also allows advance invoices. Hover over such a checkbox to see what’s included.
Anything not in the matrix is either always allowed (such as the dashboard, your own profile and the knowledge base) or reserved for Admins. Company settings such as company data, preferences, connections and subscription therefore always stay with the admins.
The new permissions apply immediately. An employee who is signed in at that moment sees the difference after reloading the page.
💡 Tip: Not sure your permissions are set correctly? Ask the employee concerned to click through their menu. What they aren’t allowed to do, they don’t see either.
