Processing Peppol invoices in the app

When an invoice comes in via Peppol, you can also process it from your phone. In the app’s Inbox, you check the invoice and import it as an expense in a few taps, or reject it.

ℹ️ You see the Inbox if your company receives invoices via Peppol and you have the permissions to process incoming documents. How this works in the web version is explained in How do I process incoming invoices?

Opening the Inbox

Tap Inbox in the menu or on the home screen. The number on the tile shows how many documents are still waiting to be processed.

At the top, you choose which documents you see:

  • To process: new documents waiting for you
  • Rejected: documents you rejected
  • Processed: documents already imported as an expense

You recognise a credit note or self-billing document by the Credit note or Self-billing label.

Importing an invoice

  1. Tap a document in To process. You see the PDF (tap it to open it full screen), the supplier, the invoice details and the totals.
  2. Check the Supplier:
    • Matched on VAT number: the supplier is already in your contacts
    • New, created on import: the app creates the supplier with the details from the invoice
    • Tap the supplier to choose a different one after all (Choose existing)
  3. If needed, adjust the Number, the Invoice date, the Due date or the Reference / payment reference. You view the invoice lines under Lines; editing them is done in the web version.
  4. Is the invoice already paid? Turn on Already paid and choose the Payment date.
  5. Tap Import.

The invoice is now in your expenses. Tap Next document to process the next document straight away, or View expense to open the expense.

Rejecting an invoice

Does a document not belong to you, or is it wrong? Tap the menu in the top right and choose Reject. The document isn’t imported and disappears from To process. The supplier isn’t notified: contact them yourself if you want a new invoice.

Rejected one by mistake? Open the document under Rejected and tap Restore.

What can’t the app do (yet)?

Some documents are processed in the web version:

  • Self-billing documents: these can’t be imported in the app
  • Possible duplicates: if an invoice looks like an expense you already have, NumNum asks you to confirm. You do that in the web version
  • Documents without price info: if you’re not allowed to see prices, process the document in the web version or ask an administrator

Notifications

When a new Peppol invoice comes in, you get a push notification. Tap it to open the document right away. If several come in at once, the app bundles them into one notification that opens the Inbox.

Which notifications you receive as a push notification is set in the web version. See Setting notifications.
